Privacy policy
Datum North Solutions is operated by Vijay Banoor in Milton, Ontario. This policy explains what personal information we collect, why, and the choices you have. It follows Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
| When | What | Why |
|---|---|---|
| You visit the website | Technical details your browser sends, such as IP address, browser type and the pages requested. Kept by our hosting provider in security logs. | To deliver the site and protect it from attacks and spam. |
| You choose a colour theme | Your choice of light, dark or automatic, stored in your own browser only. | To remember your choice. We never see it. |
| You send the contact form or an email | Your name, company, email, phone number if given, your message, the time, whether you asked for updates and the wording you agreed to, and a one-way scrambled form of your IP address. | To reply, to keep a record of what you asked, to keep proof of any consent you gave, and to block repeated spam. |
| You ask for updates | Your email address and the date and wording of your consent. | To send occasional updates until you unsubscribe. |
| You become a client | Business contact details of the people we work with, contracts, invoices and project records. | To deliver, support and invoice the work, and to meet tax and legal record-keeping duties. |
We don’t use advertising or tracking cookies, and we don’t sell or rent personal information. If we measure visits, we use a cookie-free service that doesn’t identify individual visitors.
Client systems and client data
- Datum runs on the client’s own computers and network. Client records stay in the client’s building.
- Remote support happens only in a session the client starts and approves. We look only at what the problem needs and don’t copy client data unless the client agrees in writing.
- Client data is never entered into artificial intelligence tools or other outside services without the client’s written permission.
- Logs exported for troubleshooting contain technical information, not the client’s records.
Consent
By sending a message you agree that we can use your details to reply to it. Updates by email are separate: we send them only if you tick the box, and every update has a way to unsubscribe. You can withdraw consent at any time by replying “unsubscribe” or writing to the privacy contact. We act on it within 10 business days.
Who else handles it
- Cloudflare, Inc. hosts the website, protects it from attacks and stores contact-form messages. Its servers are in several countries, including the United States, so your information may be processed outside Canada and may be accessible to authorities there under their laws.
- Our email provider receives and stores the emails we exchange. This is currently Google (Gmail).
Each provider handles the information only to provide its service to us. We’ll update this list when a provider changes.
How long we keep it
- Messages that don’t lead to work: up to 24 months after our last contact, then deleted.
- Proof of consent for updates: while you’re subscribed and for 3 years after you unsubscribe, so we can show when consent was given and withdrawn.
- Client records: for the length of the relationship and as long as tax and business record laws require, generally six years.
- Website security logs: as long as our hosting provider keeps them, typically days to weeks.
How we protect it
Access is limited to Vijay Banoor. Accounts use strong passwords and two-step sign-in where offered. Messages travel over encrypted connections. If a breach creates a real risk of significant harm, we will tell the people affected and report it to the Privacy Commissioner of Canada, as the law requires.
Your rights
You can ask what personal information we hold about you, ask us to correct it, or ask us to delete it where the law allows. Write to the privacy contact. We reply within 30 days.
If you’re not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada.
Changes
